Hello and welcome to your latest Transition News.

As we progress through September, we acknowledge the recent changes that have occurred to align and integrate a number of Bacchus Marsh and Melton services and teams into the broader Western Health Operations Directorate. This is a significant milestone in our transition journey, allowing us to integrate our approach to patient care across all our sites and further support our patients to access the care they need. The recent appointment of the Director of Operations – Integrated Community Health Services further supports our Bacchus Marsh and Melton transition, with this role focussing on integrating and expanding community services provided by Western Health.

Whilst we have now transitioned the majority of services and teams across to the broader Western Health structure, we are still working through a small number of teams. If your team has not had any change, we will undertake further alignment in the next few months and will keep you informed of progress.

Last week gave us an opportunity to partake in the important national initiative R U OK Day. This important initiative encourages us to start the conversation with our colleagues and reminds us to remember it is ok not to be ok, and to ask for and accept help from others.

Finally, the Digital Technology (DTS) space is constantly progressing as we work hard to integrate our DTS systems at Bacchus Marsh and Melton with the broader Western Health systems. We recognise that in the interim, services and teams are needing to create workarounds to allow the sharing of information and that these can be time consuming and complex. We would like to thank staff for their patience whilst we continue to progress work in this space.

Director of Operations - Integrated Community Health Services

Congratulations to Siobhan Newman who has been appointed into the position of Director of Operations – Integrated Community Health Services

The Director of Operations – Integrated Community Health Services is responsible for leadership, operational management, and strategic development of all community based services at Melton and Bacchus Marsh. This new position will focus on developing and delivering innovative workforce and service models while leading client focused quality service delivery and outcomes for the community.

Siobhan is well known to the Melton Community Services team, having spent the last 12 months working with the team as the Community Services Integration Consultant.

Siobhan has a clinical background as a physiotherapist and holds a wealth of experience in community health, having previously held the roles of General Manager – Quality Innovation and Integration and Quality Risk and Clinical Governance Coordinator.

Siobhan is passionate about the value of primary care and will be integral in supporting the transition of Community Health Services into Western Health.

We would like to thank Sharon Read for her work over the last 9 months whilst acting in the Community Services Director role. Sharon will now return to her substantive role as Director Change Management and Transformation.


 

Clinical Operations Directorates - Aligning and integrating

The last 12 months has seen the successful transition of a number of clinical services and business units including Health Support Services, People and Culture, Pharmacy, Maternity and Gynaecology.

As outlined above, we have recently embarked on transitioning a number of services and teams, which is further supported by the recent changes in the Western Health Operations Directorate. Further detail regarding those services and teams undergoing transition are outlined in Table One. Meet and greets have begun between staff and their new managers as divisions explore the opportunities this alignment creates for each service.

  • PROMPT
    PROMPT will integrate with the wider Western Health (one PROMPT).

    You will have access to both current BMM PPGs as well as the WH PPG library.

    As part of this integration, we will remove other non-PPG documents from PROMPT and store them on BMM SharePoint documents library. You will still be able to access all documents via BMM Intranet.

    A new process for updating and managing other documents will be implemented in due course.

  • Riskman
     

    BMM Riskman and WH Riskman remain separate.

    If you need to report a BMM incident, please use BMM Riskman.

    There is a plan and ongoing testing happening that will allow all staff to access WH Riskman for BMM incidents.

    If you need access to the BMM RISKMAN, please reach out to your line manager or the Quality Team for assistance.

    Exit from the GRHA network

  • WH Service Desk (Cherwell)

    The IT ticketing system will integrate into one service and enable leveraging off the WH DTS service desk.

    The IT Helpdesk on BMM intranet will be decommissioned.

  • WiFi Capability
    WiFi Capability

    Over September and October the WiFi will be upgraded across all BMM sites and provide improved WiFi connectivty.

    Anticipated integration: December 2023

     

  • iPM integration
    iPM integration

    Plans are underway by Digital Health to merge the BMM iPM with WH.

    As you can appreciate, this project is very complex and an extensive amount of work and resources will be required.

    EMR (Electronic Medical Records)

    EMR is another project that will tie in with the integration of iPM.

New remote login process

Please be advised that GRHA Remote Access will NOT BE AVAILABLE from 25TH September 2022.

We request remote access users start using WH Remote access through https://outcitrix.wh.org.au, which has been available since 10th August 2022.

Please make sure you are registered with OKTA prior to connecting to remote access.

New works

Reception area at Bacchus Marsh has a makeover underway
Reception area is having new coat of painted, installation of new blinds and new carpet, with some new furniture on order. We look forward to sharing photos of the makeover when completed.

SMARTRAK

As part of the transition, the current process for fleet vehicle bookings will be upgraded to Smartrak’s ‘PoolCar’ platform, creating a more streamlined and modern approach.

To mark R U OK? Day on Thursday 8th September, Western Health provided R U OK cookies as well as resources designed to  assist conversations with colleagues that may be experiencing personal difficulties.

By starting a conversation and commenting on the changes you’ve noticed, you could help that family member, friend or workmate open up. If they say they are not OK, you can follow our conversation steps to show them they’re supported and help them find strategies to better manage the load. If they are OK, that person will know you’re someone who cares enough to ask.
